Recruiting Handoff Checklist: Keep Candidate Context in Your ATS

A recruiting handoff transfers responsibility for the next step while preserving the candidate information needed to perform it. Record the role, current stage, relevant evidence, open questions, commitments, and next owner in the authorized applicant tracking system, or ATS, before the handoff is complete.

Forwarding a resume provides background. It rarely explains why the candidate is under consideration, what has already been discussed, or what the next interviewer needs to resolve.

Define the handoff by the action it enables

A sourcer handing a prospect to a recruiter needs to explain the relevance of the profile and the contact history. A recruiter handing a candidate to an interviewer needs to explain the interview purpose and the evidence still needed. A recruiting team handing an accepted candidate to onboarding needs a different set of details.

Build separate views for these situations rather than asking everyone to read the entire record. The underlying information should remain consistent, with access limited to what each person needs for their work.

Use a minimum handoff record

Next action What exactly must the recipient do?

This is an original operations template. Add fields only when they help someone perform the next step. More data is not automatically a better handoff.

Separate facts from interpretation

If a candidate states that they can start after an agreed notice period, record the statement and when it was made. Do not replace it with an assumed start date.

If a recruiter believes someone has relevant experience, connect that assessment to evidence. “Discussed ownership of monthly reporting and explained the approval process” gives the next reviewer more context than “strong candidate.”

Record uncertainty directly. An unresolved question belongs in the handoff, especially if another person is expected to answer it. Otherwise, the next owner may assume the issue was already settled.

Close the loop when responsibility changes

Assign the next owner and confirm that they can access the required information. A notification alone does not establish that someone accepted the work.

For example, a fictional recruiting coordinator might receive a scheduling task with the interview format, interviewer availability, candidate time zone, and promised update date. If one of those items is missing, the coordinator should know whom to ask rather than starting another chain of disconnected messages.

When the action is complete, update the same record. Keep the candidate informed through the agreed communication channel. The team should be able to see the latest state without reconstructing it from private inboxes.

Review handoffs that repeatedly stall

Look for missing owners, inaccessible notes, duplicate records, and tasks without due dates. Fix the recurring field or workflow problem before adding more reminders.

Use appropriate access controls and your organization’s retention rules. Avoid copying sensitive candidate material into broad status reports simply because it is convenient.

Can an ATS automate recruiting handoffs?

It can route tasks and update stages when configured to do so. The team still needs agreed definitions, accurate records, and a person responsible for exceptions.

How much information should a handoff include?

Include enough relevant context to perform the next action and verify the evidence. Link to authorized source records rather than duplicating everything.
